Privacy Policy

This Privacy Policy describes how Stephen AI collects, uses, and shares information when the Stephen AI mobile application and the related website are used. By using the App or the website, the user consents to the collection and use of information in accordance with this policy. If the user does not agree, the App and the website should not be used.

1. Introduction to Stephen AI

Stephen AI is a mobile application designed to assist with studying. Users can ask questions, send photos or documents, interact by voice, and use study tools. An account is required to use the App.

2. Information collected by Stephen AI

Stephen AI collects the information needed to provide the service. There is no advertising, commercial profiling, or marketing. Stephen AI may send service emails to the account email address.

2.1. Information provided by the user

  • Account information: email address, or identifiers from Google Sign-In or Sign in with Apple.
  • Profile information: name, country, language, and education level.
  • Study content: text messages, photos, documents such as PDFs, and audio recordings, if the user chooses to send them.
  • Feedback: messages sent from App settings, with an optional email address if the user wishes to be contacted back.
  • Shared conversations: if the user shares a session, a copy is stored so that anyone with the link can open it. Original image files are not included in the shared copy.

2.2. Information collected automatically

When the App is used, Stephen AI automatically collects certain information about the device and usage:

  • Device information: device type and operating system.
  • Usage and subscription: subscription status and the usage information needed to apply limits, including a limit on simultaneous sessions.
  • Notifications: if permission is granted, a push notification token and the user’s preferences.
  • Network information: the IP address may be used to infer the country of reference, for operational logs, and, on iOS at first launch, to match a possible invitation (then deleted shortly afterwards). Network time is also used to apply usage limits.
  • App analytics: Google Analytics for Firebase records product events (such as sign-up, onboarding, use of study tools, limits, and purchases) and a few account-linked properties (education level and subscription plan). This is used only to understand how the App is used and to improve it. Study content is not sent. Advertising identifiers are not used.
  • Local history: conversations and copies of images are saved on the user’s device. This history is not stored on Stephen AI’s servers, unless the user shares a session.

2.3. Information from third parties

  • Google Sign-In or Sign in with Apple: the identifiers needed to create or access the account (such as account ID, email, and display name, where provided).
  • App Store and Google Play: confirmation of purchases and subscription status. Payment card details are handled by Apple or Google, not by Stephen AI.

2.4. Voice features

Voice interaction is optional. If the user chooses to speak, the App captures audio from the microphone and sends it to Stephen AI’s servers, then to the AI provider, to transcribe the request and generate a response. Original audio files are deleted after processing. Voice is not used to identify the user.

3. How information is used

Collected information is used to:

  • provide the App: accounts, tutoring, voice, and study tools, including sending study content and the needed profile context (language, country, education level, and name) to an AI provider. This content is not used to train AI models;
  • search for a publicly available image related to the topic, when useful to illustrate an explanation;
  • adapt language and teaching context to the user’s profile;
  • apply usage limits, limit simultaneous sessions, and protect accounts;
  • manage subscriptions;
  • send notifications the user has enabled;
  • send service emails. These emails include a link to stop receiving them.
  • review feedback and understand website traffic;
  • measure how the App is used, to improve the product;
  • comply with the law and enforce Stephen AI’s Terms of Service.

4. How information is shared

Stephen AI does not sell personal information. Information may be shared with third parties only in the following limited circumstances:

  • With service providers: the providers listed in Section 5, solely so that they can perform services on behalf of Stephen AI.
  • For legal reasons: if required by law, or to protect the rights, privacy, or security of Stephen AI or its users.
  • When the user shares content: a shared session is available to anyone who has the link. If the device’s native sharing features are used, that service’s privacy policy applies.

5. Service providers

Stephen AI relies on third-party services that are essential to the operation of the App and the website:

  • Google: sign-in, authentication and database, hosting, push notifications, Google Play subscriptions, website analytics, App analytics, and fonts.
  • AI providers (Google, OpenAI, and Anthropic): study content and the needed profile context, to provide the App’s AI features. They do not use this data to train their models.
  • Apple: Sign in with Apple and App Store subscriptions.
  • Resend: sending service emails about the App.
  • Cloudflare: inferring the user’s country from the IP address.
  • Network lookup (iOS): obtaining the public IP address at first launch to match a possible invitation, then deleting it.
  • Public image search: fetching a third-party illustrative image from a topic query, limited to results identified by the search provider for commercial reuse. The source is linked in the App. Users may report an image by providing an email address; after verification, Stephen AI may block the source website from future results.

These providers process information only as needed to perform their services. Stephen AI does not control how they independently retain data under their own policies.

6. Website

The website uses Google Analytics and related cookies to understand visits, only after you accept them in the cookie banner, and loads fonts from Google. The App uses Google Analytics for Firebase for product measurement. It does not include advertising SDKs and does not show third-party ads.

7. Data retention

Stephen AI retains personal information for as long as the account is active, or as needed to provide the services. Information is also retained to the extent necessary to comply with legal obligations, resolve disputes, and enforce agreements.

  • Account and profile: retained for the life of the account.
  • Service-email contact: retained while the account is active.
  • Images, documents, and audio on Stephen AI’s servers: stored only for the time needed to generate the AI response, then deleted.
  • Chat history: saved on the user’s device. Shared sessions remain on Stephen AI’s servers for as long as the link exists.
  • Feedback: retained to improve the product.
  • Invitation matching (iOS): IP addresses are deleted shortly after use.
  • Operational logs: retained as needed for security and reliability.
  • App analytics: retained according to Google Analytics settings, as needed to measure the product.

8. Rights and choices

Depending on geographic location and applicable data protection laws, the user may have certain rights in relation to personal information. In the App it is possible to:

  • Access and correction: view and update most profile information from Settings.
  • Deletion: delete the account as described in Section 12.
  • Device permissions: manage camera, photos, microphone, and notifications in the device settings.
  • Consent: creating an account requires agreeing to this Privacy Policy and to sharing study data with the AI providers in Section 5.
  • Service emails: stop receiving them from the link at the bottom of each email.

9. Data security

Stephen AI implements appropriate technical and organizational measures to protect information, including HTTPS, access limited to authorized personnel, and short-lived storage of files after processing. No method of transmission or storage is completely secure.

10. International data transfers

Information may be processed in countries other than the user’s own, including by providers that operate globally (such as Google, Apple, OpenAI, and Anthropic). By using the App, the user consents to these transfers. Where required, transfers rely on appropriate safeguards, such as Standard Contractual Clauses and the EU-US Data Privacy Framework where applicable.

11. Educational context

Stephen AI is an educational application. The App is for everyone. Special-category data is not requested. User content is processed only to provide the service and is not shown publicly unless a session is shared. Stephen AI does not display third-party advertisements in the App.

12. Account and data deletion

The account can be deleted at any time from Settings > Delete Account. This permanently removes the profile and associated data from Stephen AI’s active databases. Deleting the account does not cancel a paid subscription or stop store charges. Subscriptions must be cancelled in the App Store or Google Play account settings.

Deleted from the server: email, profile (name, country, language, education level), subscription status stored by Stephen AI, usage data stored to apply limits, notification token and preferences, the contact used for service emails, and account timestamps.

Local history: chat history on the device is not removed by deleting the account. It can be removed by clearing the App’s data or uninstalling the App.

Data that may be retained:

  • conversations already shared, which remain available via the link;
  • feedback submitted through the App;
  • purchase records held by Apple or Google;
  • operational logs, aggregated statistics, and App or website analytics that are not used to identify a deleted account.

13. Changes to this Privacy Policy

Stephen AI may update this Privacy Policy by publishing a new version on this page and changing the “Last Updated” date. Changes take effect when published.
